How to start using Conta

Conta is the accounting system that makes invoicing and accounting run quickly and efficiently. In this guide, we will show you how to use Conta and get the most out of the system. 

Conta is the accounting system that makes invoicing and accounting run quickly and efficiently. In this guide, we will show you how to use Conta and get the most out of the system. 

1. Set a start date for your accounting

To get started with accounting in Conta, it is important to set the right start date. The start date marks the beginning of the accounting in your business.

To set your start date go to the welcome wizard in Conta. These are the settings you set once you have registered your account. You can also click and the ⚙️ > ACCOUNTING > BASIC ACCOUNTING SETTINGS and fill out your start date.

2. Enter opening balance 

Opening balance is for businesses that have had their accounting in a different software before.

You can enter your opening balance if you go to ⚙️> ACCOUNTING > INGOING BALANCE.

If you have a new company, you can start sending invoices and registering transactions.

For limited liability companies (aksjeselskap), the first transaction is the foundation document, where you usually register share capital on debit 1920 and credit 2000. Limited liability companies must also register the share capital and foundation fee.

3. Sold something? Make an invoice! 

Once you have made a sale, you should create an invoice. Make a routine where you send an invoice immediately after you have sold something. This is how you do it in Conta:

– Click on CREATE INVOICE on the front page
– Fill in information about your customer
– Fill in information about what you have sold, the amount and price
– Click on CONTINUE and choose what format you want to send your invoice in
– Click SEND INVOICE

If you need to send quotes you can activate the service SALES. In this way you can send quotes to your customers. Once your customer has accepted the quote Conta will create an order. This information will also be used to create an invoice. Easy peasy!

TIP! To upload a logo in Conta, go to ⚙️ >MY BUSINESS > LOGO.

4. Get paid faster with payment reminders and debt collection 

About 20 percent of Norwegian invoices are not paid within the due date. You can choose to do the reminder job manually or you can get the entire process automated with a few keystrokes in Conta.

You can choose automatic reminders or debt collection in your invoice settings. If you have a KID-number on your invoice you can make the whole process automatic.

To have automatic payment reminders or debt collection go to ⚙️ >INVOICE/SALE > INVOICE SETTINGS.

If you prefer to do the job manually you can send reminders or invoices to debt collection if you press details on the specific invoice.

5. Bought anything? This is how you register your purchases

It is important that you register all transactions in Conta. Then you will also get all the tax deductions you are entitled to.

Invoices, bills or receipts can be uploaded to Conta in different ways. You can upload files in the software, use our receipt app or send it from your email. If you have activated EHF-invoices, these will appear automatically.

However you decide to upload the documentation, Conta’s AI function will read the contents, and fill out the fields and come up with suggestions to what account it should be registered in.

This is how you register a purchase in Conta:
– Go to NEW PURCHASE > REGISTER NEW TRANSACTION > PURCHASE
– Choose what voucher you want to register or upload a new one.
– Control the suggestion of what accounts this should be registered in and that the information that is filled in automatically is correct.
– Chose that the payment is completed or set a date for when it should be paid
– Press CREATE PURCHASE.

6. Connect Conta to your online banking

Conta can be integrated with most Norwegian banks. Once that is done, you have all your banks in one place and can see the current information from them. With Conta’s online banking function, you no longer have to log into several individual banks online to do things.

By connecting Conta to your banks, you can pay bills and register purchases in the accounts with one keystroke. In addition, you can easily see the updated balance of your bank accounts.

To activate connection to your online bank, go to ⚙️ > MY PURCHASES > OPTIONAL ADDONS and activate BANK INTEGRATION. 

7. Salary

If your business has employees, you can use Conta to run salaries. You can cary out salary payment, submit a-report (A-melding), send payslips, register salary costs and so on. 

To activate Salary in Conta, go to ⚙️ > MY PURCHASES > OPTIONAL ADDONS and activate SALARY.

8. Track your hours

If you have employees that work on projects and you want them to register hours, it is smart to use Conta’s time management system Timerabbit. Your employees can easily keep track of their hours and it is easier for the business to have control.

The integration between Conta and Timerabbit can be used to send invoices for hours spent on a project to customers.

To synchronize projects and transfer project hours to an invoice you need to have a Smart subscription.

9. Send VAT reports 

All VAT-registered companies have to send six VAT reports (MVA-melding) a year. Some businesses have an expectation and can send just one VAT report a year.

Conta collects all information based on what is registered in the accounting. So make sure that you have sent all invoices, registered all transactions and have completed the bank statement reconciliation before you start.

To send the VAT report, go to the menu in Conta > REPORTS > BOOKKEEPING REPORTS > FOR THE TAX ADMINISTRATION > VAT REPORT. 

10. Open closed periods 

When you submit a VAT report, you do a bank statement reconciliation or close the financial year, so the period is locked for changes. This is done by Conta to prevent incorrect registrations. If it is still necessary to make changes to a locked period, for example if you have forgotten to register a transaction, you can reopen the period.

Here’s how to bookkeep something to a bank account that has been reconciled: 

Go to the menu in Conta > BANK STATEMENT RECONCILIATION.

Reopen all all bank reconciliations back to the period in which changes are to be made. Register the changes in the accounts. Navigate back to BANK STATEMENT RECONCILIATION and select the relevant period, check that the balance in the account match the balance on the account statement. Press APPROVE RECONCILIATION and repeat for the subsequent months.

Here’s how to bookkeep something for a period where you have sent a VAT report. 

Go to the menu in Conta > BOOKKEEPING REPORTS > FOR THE TAX ADMINISTRATION > VAT REPORTS.

Select the relevant period. Press REOPEN. Register your changes in the accounting. Send the VAT report again.

Here is how to make changes in a closed accounting year.

Go to the menu in Conta  > BOOKKEEPING REPORTS > FOR THE TAX ADMINISTRATION > INCOME STATEMENT 1.

Press START AGAIN. Register changes in the accounting. Send the Income statement 1 again.
