The invoice list

You can find the list of invoices in the top menu by clicking on INVOICES. There you can follow up on all your invoices and perform a number of tasks.

The invoice list

The invoice list shows you a list of your most recent invoices and their status. You can also click into the detail level of each individual invoice.

The list can be sorted by number, date, status, etc. by clicking on the headings above each column. In the column on the far left you can see the status of the invoices.

Invoice statuses

The invoices can have different statuses based on due date, whether they have been paid, and several other factors. Here we list the possible statuses:

Invoice StatusDescription
NO DUEThe invoice has not been paid, but it is not yet due either.
PAID IN CASHThis is confirmation of payment received. Read more about cash invoices.
CLOSED WITH LOSSThe invoice has been closed with a loss. To be able to do this, a number of criteria must be met.
CREDIT NOTEThis is a credit note of an invoice.
CREDITEDThe invoice has been credited, which means that a credit note has been created.
OVERDUEThe invoice was not paid before the due date.
OVERDUE 14+The customer has not paid, and you can now send a debt collection notice to the customer. You can only add a penalty charge and send a debt collection notice after 14 days have passed.
DEBT COLLECTION NOTICELess than 14 days have passed since dunning was sent on this invoice.
DEBT COLLECTION NOTICE OVERDUEThe customer has not paid after the invoice was dunning.
COLLECTION NOTICE DUEThe debt collection notice is overdue, and you can now initiate debt collection against the customer by sending the invoice to our debt collection partner Kravia.
SENT TO KRAVIAThe invoice has been sent to Kravia and you can follow the status from Conta and Kravia. Kravia takes care of the collection.

Quick icons

The quick icons in the invoice list allow you to perform certain tasks directly from the list itself, without navigating away from this page. Click on the plus sign to register a payment. The icon with the arrows indicates that the invoice is set to repeat. Click the icon to turn off the repeat.

Recurring invoices

Invoices with the repeat quick icon mean that the invoice is repeated at a selected interval: Weekly, every 14 days, monthly or annually. Click on the REPEATING menu item to see the invoices that have been set to repeat.

Register a payment

You can register a payment by clicking on the plus sign to the right of DETAILS in the invoice list on the invoice in question, and then register the amount and the date the invoice was paid.

Drafts

Here you can see drafts of invoices that you have started to create but not sent.

Choose period

You can limit the overview to a specific period by clicking SELECT PERIOD.

When you have selected a period, a link will appear below the list, where you can download a collective PDF with all the invoices from that period. Perfect if, for example, you want to send all the invoices for the period to the accountant, or the Tax Agency requires to see your invoices for a given period in connection with a book audit.

Download invoices in various formats

  • CSV: Invoices from Conta can be downloaded in CSV format, for import in e.g. Excel or other spreadsheet programs. Here’s how to do it.
  • Collective PDF: Select period to download a collective PDF with all invoices from a specific period.
  • PDF: You can also download each individual invoice as a PDF by going to the invoice details or customer card.

ATTENTION! You cannot delete already created/sent invoices. This is because approved invoice systems cannot be open to making changes to existing invoices. Two important criteria are that invoices must not be changed afterwards, and that they must be in an unbroken series of numbers. If you have made a mistake in an invoice, you must create a credit note instead.

Copy invoice

You can also create a new invoice by copying an old one.

Go to the invoice details for the invoice you want to copy from the list and click on the COPY INVOICE button.

Copying only works for users with the Smart subscription.

You will now end up in the invoice editor, where the new invoice will be pre-filled with the customer and invoice lines from the invoice you copied. Note that the invoice date and due date will not be copied, nor any repetition.
